A self-guided meeting format for turning sample feedback into clear next actions.
Prepare the meeting
This is a suggested internal workshop agenda, not an announced KeepWin event. Before the meeting, circulate the sample identifiers, current specification and questions to be resolved. Invite the people who can make decisions about fit, appearance and commercial scope. Keep the review focused on a defined sample set rather than every possible future variation.
First ten minutes: establish the facts
Confirm the sample and drawing revisions. Review the purpose of the sample and any agreed tests. Show observations and supporting photographs without immediately debating solutions. If the team used different references or test conditions, identify that mismatch before drawing conclusions.
Next ten minutes: decide what changes
Separate design changes, appearance adjustments and requests for more evidence. For each item, state the desired result and the person responsible for confirming it. Avoid grouping several unrelated issues under one vague action. If a decision cannot be made with the available information, record what is needed to make it.
Final ten minutes: close with a record
Read back the decisions and outstanding actions. Confirm which aspects are approved and which remain open. State the next revision, sample or review required. Save the notes with the project records and share a single agreed summary. The meeting succeeds when the next action is clear, not when every open question is forced into an immediate answer.
